AI Receptionist for Salons and Spas: Stop Answering Mid-Cut
An AI receptionist for salons and spas is an automated assistant that answers your phone and messages in natural conversation, so a stylist doesn't have to put down the scissors, peel off gloves and leave a client in the chair to tell a caller what a gel manicure costs. Talksy answers calls, WhatsApp and Telegram around the clock from your service menu and policies, and sends people to your online booking page. Plans start at $19 a month with a local US or Canadian number included.
What does a typical day of salon calls look like?
At a four-chair salon on a Saturday, the phone rings at the worst possible moments. The questions are almost always some version of these:
- 9:05 "Do you take walk-ins today?"
- 10:40 "How much is a full balayage, and how long does it take?"
- 11:15 "I need to move my 2 o'clock. Is there a fee?"
- 13:30 "Do you sell gift cards?"
- 15:50 "Do you do men's cuts? Kids?"
- 19:20 (closed) "Are you open tomorrow?"
- 22:45 (closed) "Do you have anything Tuesday with Maria?"
Every one of those has a stock answer you've given a thousand times. That's the work to hand off. The calls that should still reach a person are complaints, color corrections and anything involving a client's reaction to a product.
What should the assistant know about your salon?
Phone calls are answered from the assistant's written instructions, so put your core facts there in plain text. WhatsApp and Telegram replies can also draw on documents you upload (PDF, CSV or TXT, up to 10 MB each). A good split:
In the instructions (used on every channel):
- Opening hours, holiday closures, address and parking.
- Walk-in policy.
- Deposit, late-arrival and cancellation policy, word for word.
- The booking link, and the rule "never promise a specific time or stylist."
- Who to call for complaints or color corrections, and when.
- The ten services people ask about most, with prices and durations.
In the knowledge base (WhatsApp and Telegram):
- Your full service menu with prices and durations, ideally as one tidy PDF or CSV.
- Stylist or therapist specialties ("Maria: color and balayage; Jen: curly cuts").
- Gift card and retail product information.
- Pre- and aftercare notes you already give clients.
What does a client conversation look like?
Illustrative example, not a real conversation.
Client (WhatsApp, 10:52 pm): hi do you do balayage and how much
Assistant: Hi! Yes, we do. Balayage starts at $180 for shoulder-length hair and takes about 3 hours, including toner and blow-dry. Longer or thicker hair is priced at your consultation. Maria and Elena both specialize in it.
Client: do i need to pay a deposit
Assistant: For color services over $100 we take a $40 deposit when you book, which goes toward your service. Cancellations with less than 24 hours' notice forfeit the deposit. You can see live availability and book here: brightstudio.example/book
Client: ok thanks
Assistant: You're welcome! If you're new to us, mention it when booking so we can schedule a quick consultation first.
And on the phone:
Illustrative example, not a real call.
Assistant: Hi, you've reached Bright Studio. I'm the salon's automated assistant. How can I help?
Caller: Are you taking walk-ins today?
Assistant: We take walk-ins for cuts and blow-dries when a chair is free, but Saturdays are usually fully booked. The best way to get in today is to check open slots at brightstudio.example/book, or come by and we'll do our best.
Short, accurate and in your voice. If you want a warmer or more formal tone, say so in the instructions; Talksy also has short, medium and long response-length presets.
Which channel matters most for salons and spas?
Messaging, increasingly. Clients ask quick questions late at night and don't want to call. In a Kantar survey for Meta of more than 11,000 adults across 22 markets including the US, UK and Canada, 73.3% said they prefer messaging when communicating with a business. Talksy connects to your own WhatsApp Business number (our step-by-step guide shows how) and to Telegram. Note that Talksy reads text messages only, so a client sending an inspiration photo will need a human reply later; the conversation is saved in your dashboard for that.
The phone still matters for older clients and for spas, where people often call to ask about packages and gift vouchers.
How do you set it up?
- Start the 14-day free trial; no card required.
- Create an assistant from the FAQ Bot template and rewrite it with your salon's details and tone.
- Upload your service menu.
- Buy a local number in the Channels tab (instant in the US and Canada; see US and Canada), then forward your salon line to it during busy hours or after closing using your carrier's call forwarding.
- Connect WhatsApp and add the number to your website and social profiles.
- Ask it the questions from the list above. Fix anything it gets wrong in the instructions or the menu.
UK salons can use WhatsApp and Telegram straight away; UK phone numbers need proof of address before they can be activated.
What does it cost?
| Plan | Per month | Voice minutes | Messages | Numbers |
|---|---|---|---|---|
| Starter | $19 | 60 | 1,000 | 1 |
| Growth | $49 | 300 | 5,000 | 2 |
| Scale | $149 | 1,000 | 20,000 | 5 |
Prices are in USD. No overage charges: at a limit, the assistant pauses until the next cycle. Spa groups with several locations often pick Scale for its 10 assistants. Full details on pricing.
A note on client data
Your assistant will hear names, phone numbers and occasionally details like skin conditions or allergies when clients explain why they want a treatment. Keep the instructions focused on general information, and tell it not to ask for medical details or card numbers. In Canada, client data falls under PIPEDA or provincial equivalents; in the UK, the ICO treats health information as special category data. Patch-test results and allergy notes belong in your salon system, not in a chat.
