AI Receptionist for Plumbers: Answer Every Call 24/7
An AI receptionist for plumbers is software that picks up your business line when you can't, talks to the caller in natural speech, and handles the routine part of the call: your call-out fee, the towns you cover, whether you do tankless water heaters, and what to do right now if water is coming through the ceiling. Talksy is one of these tools. It answers phone calls, WhatsApp and Telegram 24/7, and plans start at $19 a month with a local US or Canadian number included.
This page covers how plumbing businesses actually set it up: what to write in the assistant's instructions, what to upload, how to handle emergencies, and where it falls short.
What do plumbing customers actually call about?
Most calls to a small plumbing company fall into a handful of buckets, and only one of them needs you personally right away:
| Call type | Typical question | Can the AI handle it? |
|---|---|---|
| Price check | "What's your call-out fee? Do you charge by the hour?" | Yes, if your prices are in its instructions |
| Coverage | "Do you come out to Brookfield?" | Yes, from your service-area list |
| Service fit | "Do you fix tankless heaters / sewer lines / commercial kitchens?" | Yes |
| Scheduling | "Can someone come Thursday morning?" | Partly: it can explain how booking works or share your booking link; it can't see your calendar |
| Active emergency | "My basement is flooding" | It gives safety steps you wrote and your on-call number |
| Existing job | "Is my tech still coming at 3?" | No; it should tell them how to reach your office |
The first three rows are where most of your missed calls go, and they are exactly the questions a well-instructed assistant answers well. Studies from answering-service vendors are small and dated, but they point the same way: a 2016 study of 85 small businesses by 411 Locals found 62% of calls went unanswered, and in a 2025 CallRail survey of 1,000 US consumers, 82% said they would call a competitor if a business didn't pick up.
What should a plumber put in the assistant's instructions?
On phone calls, Talksy's assistant answers from the written instructions you give it in the dashboard, so the facts a caller needs must live there. Keep it plain and specific:
- Business basics: name, office hours, the towns or ZIP codes you cover, and whether you work weekends.
- Prices you're happy to quote: call-out or diagnostic fee, after-hours surcharge, whether estimates are free. If you never quote over the phone, say so and the assistant will say so too.
- Services and exclusions: "We do residential repipes, water heaters (tank and tankless), drain cleaning, sewer camera inspections. We don't do septic pumping or irrigation."
- Emergency rules: what counts as an emergency for you and exactly what to tell the caller (more on this below).
- How to book: your online booking link, or "message our WhatsApp with your address and the problem and the office will confirm."
- Things it must never do: promise arrival times, diagnose over the phone, or quote a full job price.
For WhatsApp and Telegram, you can also upload documents to the knowledge base (PDF, CSV or TXT, up to 10 MB each). A price sheet, a "before we arrive" checklist, warranty terms and a list of brands you service are the useful ones. The assistant searches them when it replies in a chat.
How does it handle a burst pipe at 2 a.m.?
It does what you tell it, consistently, every time. Talksy cannot transfer a live call to your mobile or send you an alert, so the emergency path is: the assistant recognizes the situation from your description, gives the caller the immediate steps you approved, and hands them your on-call number to dial.
A typical instruction block looks like this:
If the caller describes water actively leaking, flooding, no water to the whole house, or sewage backing up: tell them to turn off the main water shut-off valve if they can do so safely, then give them our on-call number, 555-0142, and say a plumber answers it 24/7. If they smell gas: tell them to leave the building and call their gas utility's emergency line or 911 from outside. Do not try to troubleshoot gas.
Here is how that plays out on a call.
Illustrative example, not a real call.
Assistant: Thanks for calling Riverside Plumbing. I'm the automated assistant. How can I help?
Caller: There's water pouring out from under my kitchen sink and I can't make it stop.
Assistant: That sounds urgent. First, if you can get to it safely, turn off the main water shut-off valve. It's often near the water meter or where the main line enters the house. Then call our on-call plumber at 555-0142; they answer around the clock.
Caller: Okay, 555-0142. How much is an emergency visit?
Assistant: Our after-hours call-out fee is $189, which includes the first half hour on site. The plumber will confirm anything beyond that before starting work.
The assistant didn't guess an arrival time, didn't diagnose the leak, and didn't invent a price. Those are the three mistakes your instructions should rule out.
Phone, WhatsApp or Telegram: which matters for plumbers?
Phone is still the main channel for urgent jobs. Messaging is where routine work gets easier, because a homeowner can type out the address, the problem and the brand on the water heater's label, and the written conversation stays in your Talksy dashboard. (Talksy reads text messages only; photos and voice notes aren't processed, so ask customers to describe things in words.) You can search it the next morning and call back with the details in front of you.
Talksy connects to your own WhatsApp Business number through Meta's Cloud API. Setup is two pasted values from your Meta app; our WhatsApp setup guide walks through it. Meta bills WhatsApp messages to your Meta account at its own rates, separately from your Talksy plan.
How do I set this up in Talksy?
- Create an assistant. Start from the Customer Support template and rewrite it for your shop, or start blank.
- Write the instructions. Use the checklist above. Read them back as if you were a caller at midnight.
- Get a number. In the assistant's Channels tab, search for a local number in your area and buy it. US and Canadian numbers activate instantly and are included in your plan. See business phone numbers in the US or Canada.
- Point calls at it. Use it as your after-hours line, or set your carrier to forward unanswered calls to it.
- Optionally connect WhatsApp and Telegram and upload your price sheet.
- Call it yourself. Ask the five questions you get most, plus one emergency, and tighten the instructions where it hesitated.
What does it cost a plumbing business?
Plans are flat monthly prices in USD with no overage charges. When you hit a limit, the assistant pauses until the next cycle rather than billing extra.
| Plan | Price | Voice minutes | Messages | Phone numbers |
|---|---|---|---|---|
| Starter | $19/mo | 60 | 1,000 | 1 |
| Growth | $49/mo | 300 | 5,000 | 2 |
| Scale | $149/mo | 1,000 | 20,000 | 5 |
Every plan starts with a 14-day free trial, no card required. A one-truck operation using Talksy only after hours often fits in Starter; a shop that routes all overflow calls to it should start on Growth and watch the minutes during the trial. Full details are on the pricing page, and AI receptionist cost in 2026 compares this with human answering services.
Are there legal points to know before turning it on?
Two, mostly. First, call consent: federal law allows recording with one party's consent, but the Reporters Committee for Freedom of the Press counts about 11 states that generally require everyone's consent. Talksy doesn't save call audio, but your caller's speech is transcribed by software so the AI can respond, so stating in the greeting that it's an automated assistant is the sensible default. Second, outbound marketing: the FCC ruled in February 2024 that AI-generated voices count as "artificial" under the TCPA. Talksy only answers inbound calls, but if you run outbound campaigns with other tools, that ruling applies. This isn't legal advice; check your state's rules.
Where is a human answering service a better fit?
If you need someone to dispatch technicians, look up job status in your field-service software, or take card payments over the phone, a staffed service or a dispatcher is still the right tool. Talksy is for answering the questions, at any hour, that would otherwise go to voicemail. Plumbers running both trades often also read our HVAC answering service page, and the after-hours answering options guide lays out the alternatives side by side.
