AI Receptionist vs Answering Service: Which Do You Need?

An AI receptionist is software that answers your phone (and often messaging channels) in natural conversation, responding from the information you give it, at any hour and any call volume. A human answering service is a team of trained receptionists who answer your calls remotely, follow your script, take messages and can transfer calls. AI is faster to set up and much cheaper; people bring judgment, empathy and the ability to act in your systems. Most small businesses should decide based on one question: do my callers usually need a person, or an answer?

How do they differ?

What does each cost?

Prices from providers' own pages, checked October 23, 2026:

Human services

  • Ruby: 50 minutes for $250, 100 for $395, 200 for $720 and 500 for $1,725 a month, billed per minute (Ruby pricing). That's $3.45 to $5.00 a minute.
  • Smith.ai human receptionists: from $300 a month for 30 calls, $810 for 90 calls, $2,100 for 300 calls (Smith.ai).

AI receptionists

  • Smith.ai AI Receptionist: a free plan with 25 calls a month, then Pro from $150 a month for 75 calls (Smith.ai AI pricing).
  • Goodcall: from $79 a month for 100 unique customers (Goodcall pricing).
  • My AI Front Desk: $99 a month, or $79 billed annually, with 200 voice minutes (pricing).
  • Talksy: $19 (60 minutes), $49 (300) or $149 (1,000) a month, plus WhatsApp and Telegram messages, with no overage (pricing).

Your own staff, for reference: the BLS reports a 2025 median of $18.27 an hour for US receptionists, before taxes and benefits, and nobody works 168 hours a week.

When is a human answering service the right choice?

  • High-stakes first impressions. A prospective client for a $20,000 legal matter, a distressed patient, a major account. A person handles nuance better.
  • Calls that need action in your systems. Booking into practice-management software, taking payment, looking up an order.
  • Frequent transfers. If most calls should end up with a specific person, a service that warm-transfers is worth paying for.
  • Unpredictable calls. If your callers rarely ask the same thing twice, there's little for an AI to learn from.

When is an AI receptionist the right choice?

  • Repetitive questions. Hours, prices, service area, availability, policies. This is where AI shines and per-minute human pricing feels wasteful.
  • Call spikes. Heat waves for HVAC, Saturday mornings for salons. An AI answers every call at once rather than queueing.
  • Out-of-hours coverage on a budget. Nights and weekends covered for a flat monthly fee instead of per-minute charges.
  • Messaging. Customers who'd rather WhatsApp than call get answered too, if the product supports it. Meta's research with Kantar found 73.3% of consumers prefer messaging when communicating with a business.

What are the limits of AI receptionists?

They're real, and vendors don't always say so. An AI receptionist only knows what you tell it, and some products can't act on anything. Talksy, for example, answers questions on calls from your written instructions, and on WhatsApp and Telegram also from your uploaded documents, but it doesn't book appointments, transfer calls, send texts or record calls. Others, like Goodcall or My AI Front Desk, do book and transfer, at higher prices. Before buying any AI receptionist, test it with your five most common calls and one awkward one.

Voicemail is the real alternative for many small businesses, and it performs badly: in a 2025 CallRail survey of 1,000 US consumers, 78% said they'd abandoned a business after an unanswered call.

Can you combine them?

Yes, and for a growing business it's often the most practical arrangement:

  1. Business hours: your staff, or a human answering service for overflow.
  2. After hours and weekends: an AI receptionist answers, handles the routine questions and gives urgent callers your on-call number.
  3. Messaging: an AI assistant on WhatsApp or Telegram, with transcripts your team reviews in the morning.

Setting that up with Talksy takes a local number (instant in the US and Canada) and a call-forwarding rule at your carrier. The 14-day free trial needs no card.

Frequently asked questions

Is an AI receptionist the same as an answering service?
No. A traditional answering service is staffed by people who answer your calls from a script and take messages. An AI receptionist is software that holds the conversation itself. Some providers offer both, routing complex calls from AI to humans.
Which is cheaper?
AI, usually by a wide margin. As of October 2026, Ruby's human plans start at $250 a month for 50 minutes and Smith.ai's human plans at $300 for 30 calls, while AI receptionists such as Talksy start at $19 a month. AI pricing varies widely, though, from free tiers to $150 or more a month.
Can an AI receptionist handle angry or upset callers?
It can stay polite and give the right next step, but it can't read a situation and improvise the way a skilled person can. If upset callers are common in your business, keep a human path, either a staffed service or a number the AI gives out.
Do callers mind talking to an AI?
Some do. Most mind voicemail and hold queues more. Be upfront: say in the greeting that it's an automated assistant, keep answers short, and give callers a clear way to reach a person when they need one.
Can I use both?
Yes. A common setup is a human service or your own staff during business hours and an AI receptionist for nights, weekends, overflow and messaging channels like WhatsApp.
