After-Hours Answering Service for Property Managers
An after-hours answering service for property management answers your tenant and leasing lines when the office is closed and decides, by your rules, which calls can't wait until morning. Talksy is an AI version of that: it answers every call, WhatsApp message and Telegram message in natural conversation, gives tenants with a real emergency your on-call maintenance number, collects routine requests in writing, and answers prospective renters' questions about vacancies. It costs $19 to $149 a month, with a local US or Canadian number included.
Who calls a property manager after 5 p.m.?
Three groups, with very different needs:
- Current tenants with maintenance problems, lockouts, noise complaints, and rent or lease questions.
- Prospective renters asking whether a unit is available, what it costs, whether pets are allowed, and how to apply.
- Owners and vendors, who generally need a person and can wait for the morning.
The value of an answering service here is triage. A human answering service does it by reading a script; an AI assistant does it by following written rules. Either way, the quality depends on how clearly you define an emergency.
What counts as a maintenance emergency?
Write this list into the assistant's instructions. On phone calls, Talksy answers from these instructions, so treat them as your after-hours policy:
| Situation | Category | What the assistant tells the tenant |
|---|---|---|
| Fire, smoke, gas smell, carbon monoxide alarm | Life safety | Leave the building and call 911 (or the gas utility for gas) from outside. Then call the emergency maintenance line. |
| Active flooding, burst pipe, water coming through a ceiling | Emergency | Shut off the water valve if it's safe, then call the emergency maintenance line now. |
| No heat in freezing weather; no water to the unit | Emergency | Call the emergency maintenance line now. |
| Sewage backup; only toilet not working | Emergency | Call the emergency maintenance line now. |
| Locked out with no other access | Urgent | Lockout policy and fee; emergency line if you provide lockout service. |
| Dripping tap, broken appliance, pest sighting, light out | Routine | Submit a request (portal link, or send unit and details here on WhatsApp). The team responds next business day. |
| Noise complaint | Routine | Your noise policy and how to file a complaint; police non-emergency number if appropriate. |
Talksy can't transfer the call to your on-call technician or alert anyone, so the emergency maintenance number in your instructions is the link to a human. Use a number that's answered every night, by a person or rotation.
Here's the second row on a call:
Illustrative example, not a real call.
Assistant: You've reached Northgate Property Management after hours. I'm the automated assistant. Is this about a maintenance emergency, a rental inquiry, or something else?
Tenant: There's water dripping through my bathroom ceiling, quite a lot. Unit 4B, Elm Court.
Assistant: That could be a leak from the unit above, so please treat it as an emergency. Move anything valuable away from the water, and don't touch any wet light fixtures or switches. Then call our emergency maintenance line now at 555-0161. Someone answers it 24 hours a day.
Tenant: Okay. Can you tell them for me?
Assistant: I'm not able to pass messages on by phone, so please call 555-0161 directly. They'll take it from there.
That last exchange matters: be explicit in the instructions about what the assistant can't do, so it says so rather than implying someone will call back.
What about routine requests at night?
This is where messaging works better than the phone. On WhatsApp or Telegram, the assistant can collect everything the maintenance coordinator needs:
Illustrative example, not a real conversation.
Tenant: The dishwasher won't drain. Unit 12, Birchwood.
Assistant: Thanks for letting us know. That's a routine repair, so the maintenance team will pick it up next business day. To help them, could you confirm: is it okay for a technician to enter if you're not home, and do you have pets they should know about?
Tenant: Yes, ok to enter. One cat.
Assistant: Got it: unit 12 Birchwood, dishwasher not draining, permission to enter, one cat. You can also log requests in the resident portal at northgate.example/portal.
Every conversation is stored and searchable in the Talksy dashboard. The assistant doesn't create work orders, so someone on your team reviews new conversations each morning and enters them. Talksy reads text only, so ask tenants to describe the problem rather than send photos.
How should it handle prospective renters?
Upload a vacancy list (CSV works well: address, unit, rent, beds, baths, pets, available date) for WhatsApp and Telegram, and keep a short summary of current vacancies in the instructions for phone calls. The assistant can then answer "is the two-bedroom on Oak still available?" and explain your application process, fees and screening criteria as you've written them.
Write fair-housing guardrails in as well. The Fair Housing Act prohibits discrimination based on race, color, religion, sex, national origin, familial status and disability, and state and local laws often add more. Practical rules: describe units and policies, never neighborhoods or the people who live in them; apply the same answers to every caller; and route questions about assistance animals or reasonable accommodations to your office rather than letting the assistant decide. This is general guidance, not legal advice.
What should you upload to the knowledge base?
For messaging channels, the assistant searches documents you upload (PDF, CSV or TXT, up to 10 MB each):
- Vacancy list and rental criteria.
- Resident handbook: trash days, parking, amenities, quiet hours.
- Maintenance request guide and what counts as an emergency.
- Move-in and move-out checklists.
Keep tenant personal data out of it. The knowledge base is for information you'd give to anyone who asked.
How do you set it up?
- Start a 14-day free trial, no card required.
- Create an assistant with your emergency table, office hours, emergency maintenance number, lockout policy and leasing basics.
- Buy a local number in the Channels tab (instant in the US and Canada: US, Canada) and forward your office line to it after hours.
- Connect WhatsApp (see the WhatsApp setup guide) and share it with residents for routine requests.
- Test every row of the emergency table before you rely on it.
What does it cost compared with a staffed service?
| Plan | Per month | Voice minutes | Messages | Numbers | Assistants |
|---|---|---|---|---|---|
| Starter | $19 | 60 | 1,000 | 1 | 1 |
| Growth | $49 | 300 | 5,000 | 2 | 3 |
| Scale | $149 | 1,000 | 20,000 | 5 | 10 |
No overage charges, and the price doesn't depend on unit count. Staffed after-hours services typically bill per call or per minute; our AI receptionist cost guide compares published prices.
When is a staffed answering service better for property management?
When someone needs to make a judgment call at 3 a.m., phone the vendor, or enter a work order into your software while the tenant waits. Talksy follows your written rules and keeps a clean record of message conversations, but it doesn't dispatch, escalate or remember a tenant's history. Many managers use both: AI for leasing questions and routine requests, people for the emergency line. For agents selling rather than renting, see the real estate answering service page.
